Every well-run house has a plumber it trusts. That is not the same as having a system, and the difference shows up the day the plumber retires, moves, or gets busy with a bigger client in August.


THE PATTERN

Where it goes wrong

Work is ordered verbally. Scope exists in someone’s memory. A price is agreed on the phone and remembered differently by each party. The job is done, and the person who assesses whether it was done properly is the person who did it. Payment follows, because refusing is awkward and the owner is not there.

Nobody is dishonest in this sequence. It is simply a structure with no verification in it, repeated a few hundred times over a decade.


THE SYSTEM

What we put in place

Written scope before work starts. What will be done, to what standard, by when, with what excluded. Most disputes are not about quality — they are about what “included” meant.

Comparable quotations. Same scope to each party, so the numbers can actually be compared. A cheaper quotation against a vaguer scope is not cheaper.

Defined responsibility. Who supplies materials, who holds the risk, who is liable for consequential damage, who returns if it fails.

Verification before acceptance. The work is checked against the scope before it is signed off, and signed off before it is paid. This single step changes contractor behaviour more than any other.

Payment against milestones, not against progress reported by the party being paid.

Warranty capture. Registered, filed, and attached to the equipment record.

A maintained vendor record. Every contractor’s history with the house: what they did, when, at what cost, how it held up, whether they returned when called. Over three years this becomes the most useful document in the residence.


INDEPENDENCE

The commission question

We take no commission, referral fee or margin from any contractor, supplier or service provider connected to a residence we oversee. Ever.

This is not a courtesy. It is the structural condition that makes the rest of this page possible. Any party earning from the work cannot impartially assess it — and a residence where the same party specifies, performs, evaluates and reports has no oversight at all, however good the people are.
